Many organizations have recently started using tools like Microsoft Copilot. On paper, it sounds like a big step forward. But in reality, we often see something else. The tool is there — but it isn’t being used as intended. Results don’t show up, and employees still feel uncertain about where to begin.

It’s not the technology that’s the problem

The technology works. The problem lies in moving from having access to a tool, to actually using it as a natural part of the workday. This is where a gap emerges. A gap that can’t be solved with more instructions or another email.

What’s often missing is trust in the tool, a clear understanding of what it can do, and a sense that it’s relevant to everyday work.

People must be at the center of the AI journey

When AI is introduced as a technical project, we often forget the most important part — the people who are meant to use it. For tools like Copilot to become part of the workflow, we need a shift in how we think, collaborate, and prioritize.

That means creating a safe learning environment. Giving teams the chance to explore, ask questions, and experiment without pressure. Showing concrete examples of how AI can support market analysis, content creation, or campaign planning.

For sustainable change, leadership is also crucial. Managers who try it themselves, share their experiences, and open up dialogue set the tone for the rest of the organization.

From one-off initiatives to everyday change

A common pitfall is settling for an inspirational talk or a short course. But if AI is going to take root, more is needed. It has to be integrated into workflows, into team meetings, and into the daily rhythm. Small steps, taken often — with clear follow-up.

When successes are highlighted, obstacles solved together, and curiosity encouraged, that’s when real change starts to happen. It’s not about changing everything at once, but about creating the right conditions for a new habit to grow.

What does this mean for you as a manager?

AI is no longer something on the horizon. It’s already here, and it’s changing how we work, communicate, and lead. Your role is critical to making the change real.

Want to make it happen? Start small. Set the tone. Create conversations. And make AI a natural part of what you’re already doing.
